[PB] Picture Book Post-Visit

The family has returned their Picture Book packet to you. What do you do now?

[1] Sign-in the packet

  1. Confirm that the packet contains the Picture Book (with 12 flashcards), USB audio recorder, and charger.

  2. Sign-in the packet using the spreadsheet found in: psych/BergelsonLab/Subject_Information/Picture_Book/PB_sign_out_sheet.

  3. Fill in the subject number and the date that the packet was returned.

  4. If you notice something missing/strange about the study materials (e.g., one of the flashcards is missing), make a note in the Notes column.

  5. Save the file and close.

  6. Write the subject number on a sticky-note and leave the sticky-note on the packet.

  7. Notify Sarah Yang that a packet has been returned.

    1. Sarah is in charge of importing Picture Book packets. Find her in lab.

    2. If Sarah is not in lab, contact her at smy5@duke.edu (be sure to mention the packet's number). Give the packet to the lab manager.

[2] Import the reading logs

Sarah Yang is in charge of this step! Unless you have permission from her, do not do this step.

Here are instructions on how to import the reading logs from the Picture Book.

  1. On a lab computer, create a new folder for the participant here: psych/BergelsonLab/Subject_Files/Picture_Book_Duke. Name the folder using the participant's ID.

  2. Copy (don't move!) the following template into the participant's folder: psych/BergelsonLab/Paperwork/Picture_Book/PB_Reading_Log_template.xlsx

  3. Rename the file to [sub #]_PB_Reading_Log.

  4. Fill out the spreadsheet using the reading logs at the back of the Picture Book.

  5. Save the file and close.

  6. Recycle the used reading logs.

[3] Import files from audio recorder

Sarah Yang is in charge of this step! Unless you have permission from her, do not do this step.

Here are instructions on how to import the audio files from the USB audio recorder.

  1. Plug-in the USB audio recorder into a lab computer. A small light on the audio recorder will flash red.

  2. On the computer, open the USB and then select [RECORD] to view the files inside.

  3. Create a new folder here: psych/BergelsonLab/Subject_Files/Picture_Book_Duke/[sub #]. Name the folder [sub #_PB_Recordings].

  4. Copy the files from the USB drive into the folder that you created.

  5. Check through the files to confirm that they have all imported correctly! The size, type, and number of files should be the same. Listen briefly to a few of the files to confirm that they can play.

  6. After confirming, delete the audio files from the USB drive.

  7. Remember to safely eject the USB from the computer.

[4] Reassemble the packet

As you are reassembling the packet, update the Conditions spreadsheet here: psych/BergelsonLab/Subject_Information/Picture_Book/PB_sign_out_sheet.

  1. Flip through the pages of the book. Carefully repair any extreme rips with tape. Clean grime/stains with a wet wipe/towel to the best of your ability.

  2. Confirm that there are 12 flashcards (4 cards for each of the three novel items) stored in the back cover page of the book. Extra flashcards can be found in a small yellow packet labeled "Old PB flash cards." Clean grime/stains with a wet wipe/towel to the best of your ability.

  3. Tape new reading logs into the last pages of the Picture Book.

    1. Pro tip: tape wisely; otherwise, the reading logs will be difficult to remove later on.

    2. If you need to print more reading logs, you can print this template: psych/BergelsonLab/Paperwork/Picture_Book/Reading_log_PB.

  4. Confirm that the numbers on the Picture Book, USB audio recorder, and packet are all the same number.

  5. If the packet envelope is extremely torn, get a new one.

    1. These can be found in the copier/mail room upstairs.

  6. Place a new instruction sheet (recycle the old one), as well as the Picture Book, USB audio recorder, and charger, into the packet.
